This Privacy Policy page explains how StuWin collects, stores, and protects your information when you use our academic assistant tools (such as GPA tracking, tasks, notes, and journal).
1. What Information Do We Collect?
Depending on how you use StuWin, we may collect and store:
- Account details such as your name, institution, and email address.
- Login credentials (your password is never stored in plain text).
- Academic information such as courses, grades, GPA goals, assessments, and performance history.
- Journal entries, notes, tasks, reminders, and related metadata.
- Technical data such as IP address, browser type, and basic usage logs for security and diagnostics.
2. How We Store and Protect Your Data
Your data is stored in our secured database and is used only for providing StuWin’s features (for example: GPA tracking, reminders, analytics, and dashboards).
We take the following measures to protect your information:
- Password security: Your password is stored in hashed form and is never saved in plain text.
- Protection of personal data: We treat personal information such as your email, journal entries, grades, and course data as confidential and protect it using hashing, pseudonymization, and encryption.
- Access control: We only see your StuWin account number (automatically generated by us). Since your personal information is secured through encryption, we cannot see any personal information.
We do not sell, edit or view your personal data, and we do not share it with third parties for advertising or marketing.
3. Use of Third-Party Services
To provide certain (optional) features (such as Notes, Calendar, Spotify), StuWin may integrate with third-party services, such as:
- Google APIs (e.g., Google Drive, Google Calendar, Google Gemini) – to sync notes, events, and generate study-related insights.
- ZeptoMail (Zoho) – to send task reminders or notification emails to your registered email address.
- Spotify – for background music in Study Session that enhance your study experience.

Where necessary, access to these services is granted via secure unique tokens generated every time and limited strictly to the scopes needed for StuWin to function.
4. Email and Notifications
StuWin may send you emails such as task reminders, updates, or verification messages if you opt in to these features.
- Emails are sent via ZeptoMail (Zoho).
- Your email address is used only to deliver these messages and is not shared for advertising or sold to third parties.
- Your email address is directly linked via our encrypted database to the backend and is decrypted by backend service only.
- You may choose NOT to use such service, as by default you are already OPTED-OUT from these services, unless you manually use such features.
5. Cookies and Local Storage
StuWin uses minimal cookies and/or local storage for:
- Maintaining your login session so you don’t need to re-enter credentials on every page.
- Storing cached information such as your local time zone to display times correctly (e.g., for activity logs, tasks, or reminders).
- Improving basic user experience (for example, remembering certain preferences).
We do not use cookies for advertising, cross-site tracking, or selling your browsing data.
6. Data Access, Control, and Deletion
You are in control of your data within StuWin. In particular, you can:
- View and update your courses, grades, tasks, and journal entries from within the platform.
- Delete specific records such as tasks, notes, or journal entries.
- Request assistance with account-related questions via our contact.
- Add, View or Delete your Google Drive Files, and Google Calendar Events
Apart from this, you can delete your account through Profile section, which will delete all data permanently from our database.
7. Security Practices
While no system can be guaranteed 100% secure, we take reasonable technical and organizational steps to protect your information. You can help by:
- Using a strong, unique password for your StuWin account.
- Not sharing your login details with anyone.
- Signing out on shared or public computers.
- Using Ad-blocker to browse StuWin
8. Changes to this Policy
We may update this Privacy Policy from time to time to reflect new features, legal requirements, or security improvements. When we do, we will update the “Effective Date” at the top of this page. Continued use of StuWin after changes means you accept the updated Policy.
